Indico Conference Management Tool
INDICO (Integrated Digital Conference) is a web-based tool for managing complex conferences, conventions, meetings, and workshops. Indico is an open source tool developed by CERN. Below you will find information specific to our installation. General and more complete documentation can be found on the CERN website.
For simple event registrations, please use the specially developed template in the central WCMS Fiona. This will significantly reduce the effort required.
Alternative Payment Methods
Credit card payments (VISA/Mastercard) can no longer be processed via the conference management tool “Indico.” For alternative payment methods, see "6.-Payments".
1. Access
Indico can be accessed via the URL https://www.conferences.uni-hamburg.de.
University employees can log in with their user ID (B-ID) and the corresponding password.
2. Create a conference
After logging in, you will see the main categories: “Faculties,” “Other facilities,” and “TEST Category.” All events are first created in the access-protected “TEST Category.” To do this, please click on “TEST Category.”
To create a new conference, click on the blue “Create event” button in the upper right field and select ‘Conference’ from the drop-down menu. Please also select the “Conference” template if you need a lecture or meeting, as only this template has the menu where you can add the imprint required for approval.
A “Create New Conference” window will open. Fill in the event title, start and end dates, location, room, and address, and click on “Create Event.”
This will take you to the event management page. You can make changes in all fields by clicking on the “editor pencil” icon, e.g. enter a short URL.
You can check the appearance of the conference at any time by clicking the “Switch to display view” button above the left-hand navigation bar.
You can return to the administration page by clicking on the editor pencil icon “Switch to the management area of this event” in the top left corner.
3. Legal Notice
It is important that the conference page has an imprint/legal notice. Otherwise, your page is immediately liable to warning.
To add an imprint, please click on “Menu” in the blue menu bar on the left-hand side of the conference administration page under “Customizations” and move the slider from “No” to "Yes" under “Menu” -> “Customize Menu” move the slider from "No" to “Yes.”
Menu entries and the field for adding your own entries will then appear. Click on “+ Add Entry” -> “Add Page.”
On the new page, enter the title “Imprint” or “Legal notice.” For the content, you can refer to the templates for the respective language in the following drop-down boxes.

4. Data protection
When registering, you must request consent to the use of data with a mandatory opt-in (see EU GDPR Art. 5). To do this, you can add a “checkbox” field to the registration form and use the following text (please fill in the information in square brackets accordingly):

5. Layout
Websites in the university context must use the UHH layout. A UHH theme has been developed for this purpose and is now the default setting. In exceptional cases, such as for non-university events, a separate theme may be used.
6. Payments
- The conference management tool Indico no longer supports credit card payments (VISA/Mastercard). In order to continue offering this service, the UHH has temporarily transferred payment processing to the UHHMG, which uses the conference management tool Converia and can offer PayPal payments in addition to credit card payments via the tool. If you are planning events with credit card or PayPal payments, please read the corresponding Guidelines for events with credit card and PayPal payment options (PDF).
- You can also use the “Bank Transfer” option, which does NOT process the payment in Indico. Users are only provided with payment information such as IBAN, payment purpose, etc., which they need for the payment. To set up this option, please go to “Organization” -> “Payments” in the side navigation, then click on “Bank Transfer” under Payment Methods and move the slider in the window that opens from “No” to ‘Yes’ under “Enabled.”

7. Video Conferences: Zoom Integration
The Indico plugin allows you to create and manage Zoom meetings directly in the admin area of your event. You can find the documentation for this at https://indico.docs.cern.ch/plugins/zoom/
8. Release
Once you have finished setting up the conference, please first ensure that you have correctly included the legal notice and privacy policy. Then please fill out the release form.
