Matomo Application and Terms of Use
The RRZ provides employees of the University of Hamburg and, within the framework of cooperation agreements, other public educational institutions with the open source software solution Matomo (formerly Piwik) (see www.matomo.org) running on the RRZ infrastructure as a tool for measuring access data for their own websites in accordance with the RRZ's policies.
Access to the service
To use the Matomo web analytics tool, a user ID (B-ID) of the person responsible for the website to be evaluated and an application agreeing to the terms of use for Matomo are required.
Authorized persons may designate user IDs for other persons who are also to be granted access to Matomo for the data of the corresponding web content.
Blocking, exclusion, and termination of the service offering
Failure to comply with the terms of use of the Matomo service offering or the underlying regulations of the RRZ may result in blocking or even exclusion from the service offering.
If the personal ID used for personal use of the service offering is blocked or deleted, use of the Matomo service offering will also be blocked or revoked.
Users of the Matomo service offering are entitled to terminate use of the service offering at any time at their own request. After receiving the termination notice, the RRZ will store existing data for 30 days and then delete it completely. The deleted data includes settings, (created) reports, and all collected statistical data from the corresponding websites. If necessary, the data should be exported as reports beforehand.
The RRZ may discontinue the service offering if the legal basis for the service offering changes permanently, the offering becomes uneconomical to operate, or technical innovations no longer allow further operation in its previous form.
Scope of the service offering
The RRZ provides access to the Matomo backend for the user's own evaluation of collected data, periodic delivery of evaluations of the collected data, and a code segment for integration into the user's own website. The RRZ also provides support for the integration of necessary data protection declarations and the embedding of opt-in options for corresponding websites (primarily in FIONA and Wordpress).
The RRZ operates the infrastructure for the Matomo application and ensures compliance with current data protection recommendations for website tracking immediately upon collection of the corresponding data.
The RRZ tests updates and upgrades to the open source application Matomo and implements them during normal business hours through system work on the infrastructure. Service users are informed in advance of upcoming maintenance work, although the RRZ reserves the right to carry out maintenance work immediately without prior notice in the case of security-critical updates. The RRZ will keep any interruptions to the service caused by maintenance work as short as possible.
The RRZ backs up the service data daily for a period of 30 days. The aggregated data available within the service is retained for a period of up to two years – beyond that, the RRZ reserves the right to remove existing data from the Matomo database.
Data protection
In order to provide the service, the RRZ collects and processes data from service users and visitors to websites that are tracked by the Matomo service. Personally identifiable data from tracked websites is anonymized immediately during processing using the best possible technical means by shortening the IP address. Likewise, a transmitted default setting for non-processing of data (“do not track” as opt-in) is observed, and any data collected is deleted immediately and not processed further.
The necessary data of the responsible persons (names including title and address, email address, telephone number, name and address of the institution) is stored for the administration of access to the service offering.
