Collaboration
The use of digital tools is essential in the home office. We have therefore compiled an overview of tools that are either offered by the Regional Computing Center or can be used within the framework of cooperations and contracts.
This page is for orientation purposes only; not all tools can or should be described in full. Where available, we have therefore provided links to further information on the respective services, step-by-step instructions and support services.
Collaboration areas
1. Collaborative Work
The RRZ provides the following options for information exchange and collaboration between colleagues at UHH working from home, as well as for the joint management and editing of files (especially Word documents, Excel spreadsheets, and OneNote notebooks).
You can access and write your work emails using Microsoft Outlook on your work device or via Outlook Web Access (OWA) in your browser.
Outlook and OWA also offer the option of maintaining a calendar and scheduling meetings (including in MS Teams).

SharePoint
SharePoint is a very comprehensive collaboration and application platform that allows you to work on documents together, maintain calendars and lists, and manage task lists and small projects.
The installation is operated at the University of Hamburg and is available to all employees.

UHHCloud
UHHCloud is a sync+share service that allows you to reliably store your data and documents while keeping them up to date and accessible worldwide (sync) on multiple devices (desktop, laptop, tablet, smartphone).
You can also share, exchange, and edit your files with other people inside and outside the University of Hamburg (share). The product “Nextcloud” is used for this purpose, which is supplemented by “OnlyOffice” for collaborative editing of documents in Office file formats. The IT service is operated entirely by the RRZ of the University of Hamburg in its own data center.

DFN Schedule Planner
The DFN scheduler makes it quick and easy to coordinate events and agreements (e.g., on dates).
A user account is not required to participate in a survey.

UHH Pad - HedgeDoc
The UHH Pad or HedgeDoc service is a freely usable collaborative real-time editor. It can be used to jointly edit documents and notes and integrate external resources. It also supports UML diagrams, mathematical formulas, syntax highlighting, and musical notes, for example. Users log in with their B-ID, which encourages greater use of digital devices.

Overleaf/ShareLaTex
ShareLaTeX is an online LaTeX editor that enables real-time collaboration and direct compilation of LaTeX source code to PDF via the web interface. ShareLaTeX is a server-based application that is accessed via a web browser.
The University of Hamburg's Overleaf service is provided in cooperation with GWDG (Gesellschaft für wissenschaftliche Datenverarbeitung mbH Göttingen). An account in the Academic Cloud is therefore required.
UHH employees can find the relevant license application in the RRZ Service Portal.

OnlyOffice
The integration of ONLYOFFICE into OpenOLAT makes it possible to collaborate on Office documents.
Office documents can be edited both in folders and in the task module of OpenOLAT. In addition to Word documents, PowerPoint presentations and Excel files are also supported.

2. Communication
There are various options for holding discussions and meetings with colleagues, working groups, or entire departments at UHH from your home office:
DFNconf
Cross-platform video conferencing tool operated by Deutsches Forschungsnetz e.V. All you need to use it is your user ID and password.

Zoom
Zoom is a browser-based platform for holding video conferences with up to 300 participants. In addition to the option of participating in a meeting via audio and/or video, there is also a separate chat for each meeting.
Invitations to meetings can be sent easily after creating a new meeting by sending the meeting ID or meeting link and the (optional) meeting password. Similarly, a meeting room can be accessed using the meeting ID.
Zoom can be used via a browser and via applications available for all common operating systems and platforms.

Telephony
Call forwarding
To ensure that you can still be reached on your work phone number when working from home, you can forward calls to another number (home landline, cell phone number, etc.) via the NGN Services web interface.
NGN conference calls
Pure telephone conferences can be held via the UHH's own telephone system. All participants receive a specific dial-in number and a password. The conference can be administered via a web interface.
Telephone conference with smartphone
Most current smartphones offer the option of adding additional people to a call while it is in progress, making it easy to hold a telephone conference with multiple participants.
Outlook
Using Microsoft Outlook or the browser version Outlook Web App, you can schedule appointments for meetings and invite people. You can also schedule meetings in Teams and invite participants directly via the Outlook calendar in the desktop application.
3. Project and Work Organization

OpenProject
OpenProject is a web-based project management software.
Wekan
Wekan is a virtual Kanban board that allows you to organize tasks both within a team and for yourself personally. It makes it relatively easy to map and visualize workflows.

Microsoft OneNote
Note-taking program for creating notebooks, for example to write personal notes or conversation and meeting notes.
You can collaborate on OneNote notebooks with other people in Teams or in UHH SharePoint. You can also create specific notebook entries for existing Outlook appointments to easily create meeting notes. All meta information (subject, participants, time, location) is automatically transferred.
