If you use the OneDrive cloud service to store your data (e.g., from Word or OneNote), please check that all data is currently synchronized before the changeover. After the changeover synchronization problems may occur and data could be lost.
- So, back up important data before the switchover if necessary.

Why will the account be adjusted?
The change is being made for IT security reasons and to make working with M365 more convenient.
In future, users will log in via the UHH login with their user ID.
This will also enable two-factor authentication to be used here from December onwards.
In the converted account, data from user management will be used to keep the profile up to date.
This eliminates the need for additional maintenance of the M365 account in the event of name changes or changes in the Outlook address book, or the additional use of the Microsoft Authenticator app.
How do I log in after the change?
You will now log in with user ID@uni-hamburg.de (in the form: bax1234@uni-hamburg.de).

Students should now also log in with user ID@uni-hamburg.de. This also applies if your account login name previously contained “@studium”.
It is important to specify the domain path @uni-hamburg.de, as Microsoft must forward the login to the Microsoft 365 area of the UHH.
When the familiar UHH login opens, you can now log in with your user ID, the corresponding password, and then 2-FA.
Whos accounts will be adjusted?
All members of the UHH who are considered employees or students will receive an M365 account or the account will be adjusted.
Who will be affected and when?
Exceptions:
- External service providers
- SUB-employees
Of course, you can book/order an account or the adjustment in advance.
Please note if you have multiple accounts:
If more than one M365 account is found for a person, a check is performed to determine which account is used more often/was used most recently. If no clear evaluation is possible, this process cannot be performed automatically. In this case, you will be notified by email and can decide which account to keep by a certain deadline.
After the deadline has passed, but no later than the day of the changeover, a decision will be made automatically.

When is the change?
On Monday, November 17, 2025, all employees who do not yet have one will receive a new M365 account.
Those who already have one and have not yet been converted will be converted on this day.

Which services are affected?
Wherever you use your Microsoft 365 account, you can now log in with user ID@uni-hamburg.de.
- microsoft365.com (in your browser)
- MS Teams (in your browser, on your desktop, or as an app)
- Office 365 (for desktop or as apps, self-managed)
Not affected:
- OWA, your Exchange mailbox (is a different system)
- Other services that you use as usual with your user ID
- UHHCloud
- User administration
- and much more
Is the changeover automatic, or do I need to do something?
The accounts will be converted automatically.

How can I tell, that my account was adjusted?
You should have received an email after booking the service: “Microsoft 365 (registration)”.
An account has been created for you or an existing one has been converted.
Or you received an email on the cut-off date informing you that you have been converted.
The new login name for the account will then appear in the profile preview.

What happens to my second account?

What changes on my phone?
The account name will also change here. You may need to log in again.
In rare cases, Microsoft does not recognize the account due to network problems.
Please try turning off Wi-Fi and logging in using mobile data.
Do I still need Authenticator-App?
First, make sure that you can log in to microsoft365.com without any problems and without using the Microsoft Authenticator app after receiving the email.
This will no longer be required after the changeover/synchronization with the user ID for your UHH M365 account.
Are there known impacts?
Yes, changing the account name/login name to the user ID means that some URLs/links can no longer be accessed correctly.
Many URLs are dynamic and cannot be accessed via the login name, but this does not work for some functions.
