Filter Rules
Filter rules can be used to create out-of-office notifications, forwarding rules, or exclusion lists. These rules are applied as soon as the email arrives on the server.
To create or change filters, click on Settings and then on Filters.
Create Out-of-office notifications
Using the Out-of-Office feature, you can send an automatic notification to the senders of incoming emails.
Under “Out of Office”, you can set up an out-of-office message; see the screenshot below. Notes:
- The default value of 1 in the “Reply Interval” field means that each sender will receive a maximum of one out-of-office message per day.
- You can also find this rule under “Settings” in the “Filters” section. This does not mean that recipients will receive two out-of-office notifications.
- If you are still actively using old email addresses from your student mailbox—for example, after a name change—all email addresses must be entered in the “My Email Addresses” field.

Auto-forwarding
Using the forwarding feature, you can forward all or specific email messages from one email address to another.
Important:
The RRZ recommends that you avoid using forwarding! Simply set up your student email account on your smartphone, laptop, or tablet so you never miss a message again. There are also technical reasons for this: an increasing number of email providers are taking stricter measures against spam emails and therefore reject forwarded emails. For this reason, the RRZ cannot guarantee that forwarded emails will actually arrive. This applies, for example, to Microsoft activation codes sent via email.
Instructions
After selecting “Forwarding” in the Surfmail settings, enter the email address in the field to the right of “Forward to”. If you want to keep a copy in your inbox, select “Send a copy to” instead of “Forward to” in the drop-down menu.
Please note that forwarding is not the same as a mailing list, so you can only enter a maximum of 10 addresses there.
Important: Don’t forget to save and activate your settings.

Create new filter rule
Using „Settings“ → "Filter" → "Create", own filter rules can be created, like for example the rejection of messages recognized as spam emails.

Reorder filter rules
For certain workflows, the order of the rules may be important. If you want to change the order, you can do so by dragging and dropping them below the “Filter” tab.
