Secure work environment in Teams
To collaborate, you can create a team in MS Teams.
It doesn't matter whether you want to share cross-departmental information as a department, as a team, or as a cross-functional project.
Visibility
Make sure you create the team according to your needs.
- Who should be able to see the team?
- Who should collaborate?
- What content, if any, is reserved for a smaller group?
- What kind of data do you want to store?
Public and private teams
Each team is created with three groups for access control.
- Owners
- Members
- Visitors
Public teams have the characteristic that all members of the organization (i.e., UHH) can find and join the team without an invitation, or view all content as visitors. (Except for private channels, more on this below.)
Therefore in most cases it is advisable to create a “private” team. This places full access control in the hands of the team owner. To configure all settings for access, sharing options, and editing rights, you can go to the team settings.

You can also convert a team to a private team retrospectively.
Sharing in Teams
You can also set restrictions when sharing content or folders.
A person does not have to be a member of the team to be able to “view” or “edit” content.
You can grant individual permissions to specific data.

Normal and private channels in a team
You can create not only normal channels, but also private channels within a team.
Here, files are stored in a separate location that can be restricted and managed individually, i.e., separately from the team's access management.
Chats, group chats, and appointment chats
In addition to channels in a team, chats are also used frequently. Unlike in a channel, however, no separate directory is used here; instead, your personal OneDrive is used. This means that when you send content in the chat, it is uploaded to your OneDrive and shared with the chat participants. This simply creates a list of all the content that has been shared in this chat.
You can find these in the “Shared” tab. There you can also access your files and manage access.
