Scope of services
Here you will find explanations of the basic scope of functions and options associated with an M365 account at UHH, as well as more specific information in the context of individual applications.
Included in the scope of services
The agreement with Microsoft allows every user to use a wide variety of programs and apps. Current Microsoft license: Microsoft Education A5.
The UHH-M365 account includes the following applications and features:
- One account per person
- Use on up to 5 computers and 5 mobile devices (cell phones and tablets)
- Cross-device access
- Office Suite
- OneDrive (1TB)
- Teams
- SharePoint online
- Data protection and compliance lead to limitations.
- This will disable Copilot for everyone. Please use our alternative, UHHGpt.
Only for Employees
- Power Apps
- Power Automate
- SharePoint onprem is a different technology and is not connected to SharePoint online in the M365 area.
- Visio is not included in the license and can be obtained by employees by placing a separate order on the RRZ-ServicePortal.
Office - desktop clients
Many of these programs support functions such as “dictation,” “transcription,” and ‘translation’ from Office version “Microsoft 365” onwards. This is available in the web applications. (For employees with a device managed by the RRZ: Rollout of Office versions on FMDs.)

- OneNote for Win 10 -> is no longer supported; please use OneNote from the Office suite.

Office - limited functions
Disabled features for the Office Suite in M365
All other features are enabled, for example:
Transcription, translation, insertion of online videos, and much more.
Feature availability depends on the Office version of the end device.
The following functions are disabled for specific reasons. There are no exceptions.

- Automatically apply or recommend confidentiality designations (configured at the admin level)
- PowerPoint Designer
- Printing (Office in mobile apps)
- Reusing files
- Scanning a business card
- Send to Kindle
- Convert to website
- Interesting calendars

- Travel magazine in Up Next

FMDs
The availability of certain functions may be limited, for example, embedding online videos in PowerPoint.
This may be due to the Office version on the end device.
Error messages may be ambiguous.

Limitations - data protection and IT security
Data protection and IT security are important to us. Therefore, some functions have been disabled or limited.
In addition, we had independent Microsoft products as services before the introduction of M365:
As a result, some services have been adjusted.
We have summarized the general functional restrictions for you.
Exchange-Online (deactivated)
The following therefore does not work
- Calender in Teams (and its functions)
- Planner (no comments)
- Invitations to private plans in Planner
- ToDo app in Teams and desktop programm
Office-Store (deactivated)
As a result, products such as plugins, add-ons, and add-ins from third-party providers (not Microsoft) cannot be integrated from the Microsoft Office Store. Some exceptions have been reviewed.

Sharing files, folders, and areas
- Not possible for anonymous persons (e.g., via public links)
- Possible for registered full M365 accounts at UHH
- Possible for registered guests in the M365 area at UHH
As a result, files and folders (from SharePoint Online, OneDrive, and Teams) can only be shared with registered users.
This means that guests must also log in to the University of Hamburg's Office area in order to access the content.
Copilot
Copilot is also disabled. This means that we have disabled many individual settings and functions in many different places. Please use UHHGpt for the use of artificial intelligence in teaching and learning.
Since Copilot is used in many areas and its getting more every month, functions dependent on it are deactivated too. For example transcription and recording of meetings.
Linking and synchronization
- After the login change 2025, user IDs and names will be synchronized with the UHH's M365 account.
- Read the privcacy policy for more information
- Other storage areas and systems (e.g., UHHCloud) are not connected to M365.
- Mailboxes are not connected or synchronized with the UHH's M365 area, but are separate systems.
Terms of Use and Policies
The right of use expires at the end of the affiliation with the UHH.
Users are responsible for:
- Proper (sachgerecht) use of your M365 account at UHH
- Further training for programs and functions (information on the KUS portal)
- Sharing and releasing content - to protect your stored data
- Backing up your data at the end of your affiliation with UHH
- Compliance with the guidelines and policies mentioned below

- Technical problems after service restructuring and expansion
